Cancellation Policy

When cancelling the whole trip:

  • 91 days or more before the start of travelNo cancellation handling fee (handling fee etc. still apply)
  • 90 to 31 days before the start of travel10% of the refundable amount
  • 30 to 15 days before the start of travel50% of the refundable amount
  • 14 days before, up to the day of travel100% of the refundable amount

* The “refundable amount” is the travel price minus (1) the costs the Company has already paid to transport, accommodation and other providers (hotels, transport operators, venues and other companies), including cancellation and penalty fees but excluding anything those providers refund, and (2) the Company’s travel-service handling fee.

* When the whole trip is cancelled, the client bears, in addition to the cancellation charge above (the cancellation handling fee), the costs already paid to providers that are not refunded and the Company’s travel-service handling fee.

* When only part of the arrangements (e.g. one hotel or one flight) is cancelled, the rates above do not apply; instead ¥11,000 per case is charged as the handling (cancellation) fee for that arrangement. Cancellation fees and non-refundable amounts set by that provider are borne separately.

Swiss Entrepreneur — Kanazawa, Kyoto & Beyond, 12 Days

Responding to a request for 'a Japan that is entirely my own,' we designed a 12-day itinerary incorporating a private Yuzen dyeing session at a normally closed Kyoto workshop, an intimate dinner with the head chef of a Kanazawa kappo restaurant, and an early-morning zazen session at a temple not open to the public. About tailor-made travel

Three questions come before any others when you are considering a tailor-made trip: how it differs from a package tour, what it costs, and how much you can hand over. Here are the answers, drawn from real proposals.

What tailor-made travel means, and how it differs from a package tour

A tailor-made trip is not chosen from a catalogue; the itinerary itself is designed after listening to what you want. Where a package fits people to a fixed programme, a tailor-made journey builds the programme around the people.

In a tailor-made journey the party is your own. There is no shared coach and no joining a group of strangers: the guide, the vehicle and the reservations are engaged for your party and nobody else. That is why a quotation is given for the whole party rather than per seat. One traveller or a family of six, the arrangement is made the same way.

The difference shows least in the destinations and most in two other places: the hours deliberately left empty, and the things an individual traveller cannot arrange alone. Experienced travellers rarely want a schedule filled from morning to night, so our itineraries often hold a half-day with nothing in it. Against that, we build in what is genuinely hard to reach — restaurants that do not take outside bookings, cultural experiences not open to the public, a private compartment on a sightseeing train.

You are also not obliged to hand over the whole trip. A good number of our enquiries are for flights alone, or for a single restaurant reservation.

What a tailor-made trip in Japan costs

The total is driven less by length than by the standard of the accommodation and the dining — two trips of the same duration can differ several-fold. As a guide, most requests work out at around USD 6,000–20,000 per person, with longer trips and a higher standard running beyond that.

If you are looking for a luxury journey

Luxury is usually taken to mean the grade of the hotel. In practice what separates one journey from another is access — a counter that seats you only on an introduction, a temple at an hour it is not open, an afternoon alone with a craftsman. These are not things a larger budget simply buys.

The better the inn, the earlier it fills. If you have a particular property in mind over New Year or the autumn colours, twelve to four months ahead is the window. One month out is still workable — we will simply tell you plainly what can and cannot be secured before starting.

For visitors coming to Japan

A large share of our work is for guests travelling from overseas. We arrange and communicate in English, Japanese and Korean, and can place an English-speaking guide with you — for the whole trip, a single day, or one experience.

Where a restaurant or inn expects reservations in Japanese, or does not take bookings from overseas guests directly, we stand between as a licensed Japanese travel agency. Allergies, dislikes and seating preferences are passed on in advance.
