Cancellation Policy

When cancelling the whole trip:

91 days or more before the start of travelNo cancellation handling fee (handling fee etc. still apply)
90 to 31 days before the start of travel10% of the refundable amount
30 to 15 days before the start of travel50% of the refundable amount
14 days before, up to the day of travel100% of the refundable amount

* The “refundable amount” is the travel price minus (1) the costs the Company has already paid to transport, accommodation and other providers (hotels, transport operators, venues and other companies), including cancellation and penalty fees but excluding anything those providers refund, and (2) the Company’s travel-service handling fee.

* When the whole trip is cancelled, the client bears, in addition to the cancellation charge above (the cancellation handling fee), the costs already paid to providers that are not refunded and the Company’s travel-service handling fee.

* When only part of the arrangements (e.g. one hotel or one flight) is cancelled, the rates above do not apply; instead ¥11,000 per case is charged as the handling (cancellation) fee for that arrangement. Cancellation fees and non-refundable amounts set by that provider are borne separately.

European Consulting Firm — Partner Visit to Japan

Managed logistics for six partners from a European management consulting firm across Tokyo, Osaka, and Kyoto. Arranged private limousines from Haneda, coordinated interpreters and drivers at each stop, and confirmed menus in advance for all business dinners. When a schedule change arose mid-trip, the itinerary was restructured within the hour — without interruption to any of the planned meetings.

Corporate travel and events, arranged around the company

Business trips, incentive travel, company retreats, hosting visiting clients, inspections and training programmes — handled as one piece of work, designed around your policy, budget and purpose rather than fitted to a package.

When a group moves together, the hard part is not the itinerary but keeping anyone from waiting. On a fifteen-guest executive evening, most of the planning went into staggering three vehicles so that they arrived as one.

What corporate arrangements cost

It depends on party size and content, but here is a real example: a single-evening executive programme for fifteen leaders visiting from overseas came to approximately ¥3,460,000, or ¥231,000 a head — a curator-led art experience, a private dining room at a leading French restaurant, and three chauffeured vehicles covering every transfer.

Partial engagements are equally welcome — flights and hotels only, or simply a dinner reservation.

Incentive travel and company retreats

With incentive trips and company retreats, aiming for an itinerary that satisfies everyone tends to produce one nobody remembers. We usually suggest separating the hours the group shares from the hours each person chooses.

Reducing the load on whoever is organising it is part of the job: participant briefings, a run sheet for the day, and a single consolidated invoice. We work across the whole of Japan — hot-spring towns, outer islands and regional cities included.

Overseas business travel

We arrange outbound business travel as well — flights, hotels and ground transport, along with dinner reservations at the destination and the inevitable changes once someone is on the road. You can reach us after departure regardless of the time difference.
